Job Description



Enlighten IT Consulting (EITC), a MacAulay-Brown company is looking for an Administrative Assistant to provide support to multiple senior level directors and leadership within the group by conducting research, preparing reports, handling information requests and performing clerical functions such as scheduling / booking travel, filing expense reports, preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.


  • Book any travel needs through detailed, approved systems.
  • Maintain calendars for the directors / managers and coordinate with reception when needed for awareness and conference room scheduling.
  • Support / coordinate Management Reviews and meetings; takes notes, makes updates, manages the program "Action Tracker" and follows up with action items
  • Facilitate meetings for the customer staff to include planning meetings, providing agendas and collaborating with members, recording minutes, and submitting / maintaining documentation from the meeting(s) per customer-defined operating procedures.
  • Coordinates complex and important corporate projects and logistical details to ensure smooth operation of the department.
  • Interacts with internal and external stakeholders involving planning and preparation of communications, events or projects.
  • Maintains records, information, data and statistic on department activities and monitors project schedules for management.
  • Verifies paid invoices against purchase orders and cost summary sheets and monitors departmental spending against budget. Assists in annual budget preparation and submittal. Track and submit expense reports for multiple executives.
  • Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors.
  • Performs additional duties and responsibilities as assigned.

Required Skills:

  • High school degree, some college or technical training in a related discipline, or the equivalent combination of education, technical training, or work experience and at least 3 years related experience. Work experience may be adjusted for highly specialized knowledge or uniquely applicable experience.
  • 3+ years of experience in Administrative Assistant role.
  • Prior experience with expense reports, scheduling/booking travel and maintaining calendars is a must.
  • Highly skilled in MS Office Products (Word, Excel including Pivot Tables and charting, PowerPoint, and Outlook) and Adobe Acrobat Professional.
  • Excellent communication and interpersonal skills.
  • Excellent grammar, punctuation, spelling and proofreading skills.
  • Ability to use discretion and maintain confidential information.
  • Ability to represent the executive and company with high professionalism.
  • Strong attention to detail and flexibility.

Security Clearance

  • No security clearance required, but it is possible we will require this candidate to obtain a clearance and therefore all candidates must be a U.S. Citizenship.
