Job Description

This position requires performing a broad range of administrative functions. This includes a wide variety of tasks in a fast-paced environment. Tasks entails: preparing professional correspondence, managing schedules, maintaining office files, developing and implementing administrative procedures to include group scheduling and synchronization of calendars.

Has the ability to exercise judgment, initiative, and tact.

Works on assignments that are complex in nature where independent judgment must be used in resolving problems and making recommendations. Helps manage workflow, as well as oversight of the execution of action items. Assists with the accurate recording and timely dissemination of information.

Frequently interacts with outside customers and functional peer groups. Interaction normally requires not only scheduling activities, but the ability to gain cooperation of others concerning specific projects/schedules, etc. Will facilitate customer communications across organizational boundaries.

Prepares memos and correspondence.

Assists other office staff in preparing procurement documents and in processing vendor invoices.

Implements new ideas to improve office operation

Operates multiple-line telephone console and directs calls to appropriate person or department.  Gains sufficient knowledge of business to direct caller.  Greets visitors, vendors, customers, job applicants, and other visitors, and ensures that they are escorted to the proper office. Maintains pertinent telephone and visitor records. May perform various clerical tasks, light typing, or related duties as assigned.
