Prog/Project Administrator

Position Summary

Under the general direction of a Project or Program Manager, assists program/project management staff in the tracking and administration of contractual commitments of moderate complexity. Will track key project tasks, monitor project deliverables and timelines, organize project related programmatic document and develop reports and other deliverables as assigned.

Responsibilities

  • Works closely with Program Manager(s) to develop and track spend plans for funded projects.
  • Manage forecasting, the two primary metrics used by PMs are estimate to complete (ETC) and estimate at completion (EAC). Provide information for Program Management Reviews.
  • Provide analysis and financial data validation for customer monthly status reports (MSR).
  • Support development/review of Sub-contractor packages (Statement Of Work, Source Justification).
  • Coordinate with assigned Sub-Contract Administrators. Enter and track sub-contracting requirements in Alion’s procurement system (RPS).
  • Serve as direct point of contact with sub-contractors for accruals, invoicing and financial/budget reconciliation.
  • Coordinates with Program Management Office (PMO) finance and accounts payable to resolve any invoicing problems in order to ensure prompt sub-contractor payments.
  • Interfaces with program personnel to maintain program-related contract and financial records and files and performs other general administrative duties as required.
  • Responsible for preparing and/or maintaining operations documentation, procedures and methods, including reference materials.
  • Performs additional duties and responsibilities as assigned.

Qualifications

  • Knowledge of government contracting environment, management/business plans, Project/Program management principles and program reporting.
  • Excellent communications, presentation and interpersonal skills.
  • Strong customer service orientation.
  • Strong computer skills, MS Office Suite w/emphasis on advanced level Excel.
  • Effective organizational skills.
  • Minimum secret security clearance.
  • Desirable: Bachelor's Degree in finance/business principles or combination of other education and of 5-7 years of related industry experience.
