Responsibilities/Qualification

 

Position Summary:

Working as a contractor embedded in a government organization at the Detroit Arsenal in Warren, Michigan, perform various administrative duties such as enter employee time on timecards, assist in scheduling travel and filing expense reports, assist in maintaining out-of-office scheduling, and tracking training (all performed using government I.T. systems that the candidate will be trained on if unfamiliar). Perform scheduling for activities such as interviews, travel, meetings. Perform office management duties such as visitor sign-in/out, badge issuing/collecting, escorting guests to meet with government associates, ordering office supplies, track taskers, and maintaining the new employee checklist. Prepare staff call meeting briefings and create meeting minutes.

Job Duties:

  • The candidate must be strong in their reading and writing skills, and experienced with MS Office products (Outlook, Word, Excel, PowerPoint). The candidate must be a self-starter, recognizing when issues fall under their purview and acting on them without having to be told.
  • Under general supervision, provides clerical and administrative support to departments, managers, professionals and/or projects. Assembles information or data and develops reports.
  • Coordinate smaller-scale projects and logistical details to ensure smooth operation of a department or field location.
  • Draft correspondence and prepares presentations and graphics.
  • Prepare paperwork and forms relating to the business using knowledge of policies and procedures.
  • Verify paid invoices against purchase orders and cost summary sheets and monitors departmental spending against budget.
  • Maintain records, information, data and statistic on department activities and may monitor project schedules for management.
  • Receive, processes and maintains documents such as time records, travel, invoices and purchase orders.
  • Prepare reports from spreadsheets and databases.
  • Adhere to administrative procedures and makes recommendations to improve efficiency.
  • Advise managers and staff on proper procedures and policies.
  • Represent the department on administrative matters both internally and externally.
  • Perform additional duties and responsibilities as assigned.

Qualifications:

  • Excellent communication and interpersonal skills.
  • Excellent grammar, punctuation, spelling and proofreading skills.
  • Excellent word processing skills and proficiency in Microsoft applications.
  • A security clearance of an appropriate level may be required after employment.
  • High school degree, some college or technical training in a related discipline, or the equivalent combination of education, technical training, or work experience and at least 2 years related experience.
  • Work experience may be adjusted for highly specialized knowledge or uniquely applicable experience.
