Responsibilities/Qualification

Alion is looking for an Executive Assistant (EA) to support the Chief Information Officer and SVP of Contracts and Procurement.  The EA will provide high level administrative support in Alion’s Corporate Information Technology and Contracts & Procurement organization to include coordination of travel, calendar, expenses, sensitive communications and filing as well as administrative support of the departments as needed.

Location:  McLean, VA (transfer to Fairfax VA – October 2019)

Responsibilities

  • Schedule appointments, maintains and update daily calendars.
  • Answer telephones, screen calls, route callers, take messages, respond to internal and external inquiries, and provide routine information within scope of authority.
  • Schedule, organize and coordinate meetings and facilities, including travel, transportation/hotel arrangements, prepare and distribute materials, agendas, notes, handouts, etc. Arrange presentations and conferences, coordinate equipment needs and refreshments, compile and distribute materials, etc.
  • Provides a bridge for smooth communication between internal departments; demonstrating leadership to maintain credibility, trust and support with executive management.
  • Arrange travel itineraries and prepare travel and expense reports.
  • Pick up and deliver food to executive(s) when necessary.
  • Establish and maintain records and files. Review, sort and file a variety of materials.
  • Provide data entry and clerical support as required.
  • Assist with special projects and provide general office support to the team(s) and location.
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Function as administrative liaison to departmental staff, other departments, external vendors and consultants.
  • Expert level written and verbal communication skills
  • Perform other related duties as assigned.
  • Ability to use discretion and maintain confidential information
  • Forward looking thinker, who actively seeks opportunities and proposes solutions

Education and Experience

Associate's Degree in a related discipline (Bachelors degree preferred), or the equivalent combination of education, training, or work experience and at least 1-2 years related experience.

Knowledge, Skills, Abilities

  • Excellent communication and interpersonal skills.
  • Excellent grammar, punctuation, spelling and proofreading skills.
  • Excellent word processing skills and strong proficiency in Microsoft applications.
  • Ability to use discretion and maintain confidential information.
  • Ability to represent the executive and company with high professionalism.
