Job Description

Position Summary:

Under general supervision, provides clerical and administrative support to departments, managers, professionals and/or projects. Assembles information or data and develops reports.

Timekeeping:

  • Responsible for timekeeping for the group to include entering associates work time and leave
  • Help Associates with timekeeping entries
  • Resolving administrative issues with the timekeeping tools
  • Responsible for overtime timekeeping and process for the group Office Management
  • Assist in planning and scheduling meetings, functions, training and events; including conference rooms, attendance, directions/information, etc.
  • Help manage office supplies and requests
  • Assist leadership with personnel accountability drills after fire alarms, etc., and reporting of critical information in a timely manner
  • Identify, update and maintain internal procedures to comply with new or changing administrative requirements
  • Maintain essential associate information and store IAW approved policies
  • Maintain organization chart, associates emergency numbers, and associates work schedules
  • Track taskers for the group and responses
  • Assemble and prepare organization’s weekly significant activity report
  • Perform SharePoint administrator duties for the organization level web page (i.e., create objects, groups, assign roles, etc.).Maintain organization’s SharePoint team site
  • Prepare, coordinate, and consolidate documents, reports, and briefings as necessary
  • This includes making copies and/or print outs as required
  • Maintain a new employee checklist and follow through to ensure all on boarding requirements are met for each new employee Support TLs with onboarding of new associates, such as seating, computer, phone, network access forms, training, supplies, etc.
  • Develop Gain/Loss forms for Associates transferring to/from group
  • Assist in personnel processing of forms and actions
  • Responsible for the coordination and update of the organization’s seating plan for current associates and create forecast for future hires
  • Help to Update and Maintain Monthly Dashboards Training
  • Help Associates with training requests and issues as needed
  • Load training (to include annual mandatory training) for associates and track groups performance Travel

Requirements:

  • Assist employees in scheduling travel and with associated expense reports
  • The candidate must be proficient in basic Microsoft Office suite products
  • The candidate is required to be able to obtain and hold a SECRET clearance
  • High School Diploma 0-2
