Responsibilities/Qualification

DDG 51 Design Site Receptionist:

Alion Science and Technology is looking for a Receptionist/Meeting Manager for the DDG 51 New Construction Design site located at 1100 New Jersey Ave SE. Washington DC. Candidate will interact with various on-site engineers and become part of the design site management team. Must be responsive to customer needs and willing to seek out answers to their questions.  Must have strong professional composure and maintain a professional, polished image representative of Alion.

Qualifications:

  • B.A. or H.S. diploma and 1-2 years of administrative support experience 
  • Basic Working Knowledge of Appropriate Software:
    • Windows 7 OS
    • Microsoft Office 2013 (Especially Outlook, Word, Excel)
    • Adobe Acrobat
    • Microsoft SharePoint
    • Various teleconferencing Systems (DCS, WebEx, Intercall)
  • Polite, Courteous Manner and customer focused attitude.
  • Ability to multi-task, follow through and re-prioritize well to meet deadlines.
  • Ability to communicate and develop an effective working relationship with fellow associates, managers, outside representatives, agencies, and DDG 51 Design site guests.
  • Ability to deal professionally, courteously and tactfully with the customer and coworkers.
  • Ability to read, write and communicate effectively with others both Written and Oral. (Examples may be required)
  • Exceptional record of consistent attendance and punctuality

Responsibilities:

  • Answer a multi-line telephone and direct all incoming calls to the appropriate individuals.
  • Ensure that reception desk operates effectively and efficiently; maintain a neat and orderly guest reception area; ensure kitchen and supply room are neatly kept and stocked.
  • Work with Design Site Manager to ensure condition of facilities is kept up; contact vendors as necessary for repair and maintenance of office machines and appliances.
  • Demonstrate a pleasant demeanor and professional outlook since you will often be the first to meet guests.
  • Maintain and update design site directory and assist visitors to proper meetings.
  • Maintain visitor access control log, assign and track visitor badges, and promptly inform the appropriate party that guests have arrived.
  • Schedule meetings in conference rooms; ensure conference rooms are clean and setup properly before meetings and wiped down afterwards. 
  • Coordinate meetings with DDG51 government customers and industry representatives.
