Alion Science and Technology is seeking a full-time Executive Assistant.

This position supports the Scientific Test and Analysis Techniques Center of Excellence (STAT COE), located at the Air Force Institute of Technology (AFIT) at Wright-Patterson Air Force Base, Ohio by providing day-to-day administrative support to the Director and Associate Director. In this role you will be part of a three person administrative team responsible for day to day administration of the center. This position requires someone who can operate independently and in a team and manage time wisely to multi-task responsibilities with various due dates. Work assignments cover a wide spectrum of duties, including developing internal administrative processes and procedures and maintaining close working relationships with COE leadership and team members to facilitate administrative actions and assure adequate responses to various administrative requirements. You will also represent the center as the front office point of contact in person and via phone. Responsibilities include:

  • Manage Director/Assoc Director daily online calendar items and prepare required supporting documentation to include coordinating contact details and meeting locations.
  • Maintain and update meeting minutes for recurring external, administrative, and staff meetings. Ensure inputs are collected on time for staff meeting agendas and disseminated to team members prior to start.
  • Provide weekly activity reports (WAR) to STAT COE sponsor organization (Director, Developmental Test, Evaluation and Assessments).
  • Route and track staff travel requests, approvals, and budget details to include reconciling with financial personnel.
  • Assist with routing and close out for Director/Assoc Director Defense Travel System documents.
  • Create and/or update briefing slides as requested.
  • Create and track e-invitations for short courses and other events.
  • Maintain and update the STAT COE website with staff information and products.
  • Route and track COE products through public affairs approval and posting on the website.
  • Monitor and update the STAT COE LinkedIn page and contact list.
  • Keep the hallway television and information board current with slide shows and relevant team information.
  • Acquire and manage office furniture, contacts, contracts and details.
  • Purchase and track all office supply purchases and track warranty repair requests.
  • Act as the alternate SharePoint administrator.
  • Receive, forward, and track external email inquiries (Ask-a-STAT) to appropriate team members for action.
  • Develop internal policies and procedures that implement regulations and directives.
  • Assist with in-processing new employees into the STAT COE and AFIT as well as updating organization charts, recall rosters, and in/out-processing checklists.
  • Manage contacts for short courses to include purchasing and sending books.
  • Coordinate leadership events to include attendees, protocol details for General officers and Executive service, locations, and travel recommendations.
  • Coordinate location and clearance information for secure meetings.
  • Other Duties assigned.

Requirements

  • High school completion with 5 years experience, Bachelors degree preferred 
  • Familiarity with Microsoft products (Word, PowerPoint, Excel, Outlook, SharePoint)
  • Ability to obtain a Secret clearance
