Responsibilities/Qualification

 

Position Summary
Provides a variety of high level administrative support to PMS 407 Execution Director to include understanding of technical and business vocabulary, and a detailed knowledge of the PMS 407 Execution organization’s operations, procedures and people. Assembles and analyzes complex and often confidential information or data and develops reports. 

Duties and Responsibilities

  • Coordinates complex and important projects and logistical details to ensure smooth operation of the Execution department.
  • Drafts correspondence and prepares presentations.
  • Prepares complex paperwork and forms and develops new forms and procedures as appropriate.
  • Interacts with internal and external PMS 407 Execution stakeholders involving planning and preparation of events or projects.
  • Maintains records, information, data and statistics on PMS 407 Execution activities and monitors project schedules for PMS 407 Execution Director.
  • Receives, processes and maintains documents such as travel, invoices and purchase orders.
  • Responsible for preparing weekly and monthly reports involving research and data collection.
  • Oversees administrative procedures and makes recommendations to improve efficiency.
  • Advises managers and staff on proper procedures and policies.
  • Represents the department on administrative matters both internally and externally.
  • Performs additional duties and responsibilities as assigned.

Required Education and Experience

  • Associate's Degree in a related discipline, or the equivalent combination of education, training, or work experience and at least 8 years related experience.
  • Education and work experience may be adjusted for highly specialized knowledge or uniquely applicable experience.
  • Ability to use discretion and maintain confidential information.
  • Experience using DTS (Defense Travel System)
  • Proficient with Microsoft Outlook.
  • Intermediate Microsoft Excel Skills including:
    • Create, modify, and format charts.
    • Use graphic objects to enhance worksheets and charts.
    • Filter data and manage a filtered list.
    • Perform multiple-level sorting, use sorting options, and design considerations.
    • Use mathematical, logical, statistical, and financial functions.
    • Group and dissociate data and perform interactive analysis.
    • Create and modify some Macro commands.
  • Intermediate Microsoft PowerPoint Skills including:
    • Create a template and work with a Design template.
    • Work with graphics, animation and multimedia, inserting movies and sound. 
    • Work with the Office Suite to create slides from an outline and send slides to Microsoft Word.\
    • Customize PowerPoint toolbars and automate the slide production.
    • Use AutoCorrect and the Style Checker.
  • Must be able to work independently with little guidance.
  • An Active Secret Clearance is required for employment.
