Responsibilities/Qualification

Position Summary

The selected candidate provides executive level administrative support and quality customer services for the Office of the Under Secretary of Defense for Research and Engineering (OUSD(R&E)). The candidate will manage the day-to-day operations of the office of the Principal Deputy (PD) of OUSD(R&E). The candidate must be comfortable working with senior executives in a fast-paced senior environment.

Duties and Responsibilities

  • Compose drafts of short notes, internal memos, and formal official correspondence in addition to tracking taskers/actions based on inputs/guidance from senior level staff in the office. The memos and other documents shall follow the standard established for the office and shall be appropriate for senior level government officials.
  • Assist in preparing required reports and presentations, to ensure required material/content is ready for principle review prior to scheduled meetings, to include copying material for distribution.
  • Maintain electronic copies, and paper as directed by the Government, of files of all office documents including letters, memos, reports, and briefings.
  • Maintain/manage the Correspondence and Task Management System (CATMS), as required. Maintenance/management of CATMS include:
    • Initiate, format, and assign;
    • Upload and maintain documents;
    • Retrieve and access documents;
    • Track and coordinate actions, including documentation of package arrival and departure, and hand carrying packages, as required; and
    • Finalize and closeout actions, as appropriate.
  • Process incoming mail, including e-mail and facsimile, to route correspondence to the appropriate individual in the office for response and action; maintain the Front Office equipment and supplies (e.g. printers, burn bags, files, etc.); collect and dispose of classified materials in accordance with Department of Defense procedures and guidelines.

Education and Experience

Bachelor’s degree from an accredited college or university. At the discretion of the Government, specialized experience (e.g. military or industry executive assistant experience) can substitute in lieu of specific educational requirements.

Must possess a minimum of five years’ experience of experience.

Highly preferred experience and skills in:

Providing Executive Level Administrative Assistant support to high-ranking Federal Government Senior Executive or DoD Flag/General Officers.

Operating the Correspondence and Task Management System (CATMS).

Operating Microsoft Suite; specifically, Outlook, Word, Excel, and PowerPoint.

Must possess a Top Secret Clearance, with the ability to obtain and maintain SCI. Individuals with a DCID 6/4 eligibility within the last five years are highly desired.
